Privacy Policy

Last updated: October 9, 2026

This Privacy Policy explains how Booknow, operated by Apollo Technology Global LLC, Fargo, North Dakota, USA (“Booknow”, “we”, “us” or “our”), collects, uses and protects personal data when you visit book-now.app, use the business portal or the Booknow mobile app, or book an appointment on a booking page we host (together, the “Service”).

In short: we collect what we need to run the Service, we do not sell personal data, and you can contact us about your data at any time at support@book-now.app.

Who is responsible for your data

Booknow is the controller of the personal data of our website visitors and of the businesses and team members that use Booknow.

When you book an appointment with a business on its Booknow booking page, that business decides how your data is used and is its controller. Booknow processes the data on the business’s behalf to provide the booking service. For questions about how a business uses your data, please contact the business first.

Personal data we collect

  • Account data: your name, email address and password (handled by our sign-in provider) and, when you sign up, your IP address, country and a device identifier that helps us prevent fraud.
  • Business data: your business name, address, phone number, email address, working hours, services and prices, and the names, email addresses and photos of your team members.
  • Booking data: for customers who book, their name, email address and phone number, the appointments they make (service, team member, date and time) and any comment they add, the messages sent to them about their appointments, and any review they leave.
  • Billing data: your plan, billing period and payment status. Card details are entered directly with our payment processor; we do not see or store your full card number.
  • Messages you send us: your name, email address, subject and message when you use the contact form or write to our support team.
  • Device and usage data: technical information such as your browser type, the pages you visit and how you use them, collected by our analytics and error monitoring tools, and, if you use the mobile app and allow notifications, a push notification token.

How we use your data

We use personal data to:

  • provide the Service: run your account and business, take and manage bookings, and send booking confirmations, updates, reminders and review requests;
  • process subscriptions and payments;
  • answer your messages and provide support;
  • keep the Service secure, prevent fraud and abuse, and fix errors;
  • understand how our website and the Service are used, so that we can improve them;
  • send you important information about your account and changes to the Service, and meet our legal obligations.

Where the law requires a legal basis (for example in the European Economic Area or the United Kingdom), we rely on performing our contract with you, on our legitimate interest in running and improving a secure service, on your consent where we ask for it, and on our legal obligations.

Who we share your data with

We do not sell personal data. We share it only with service providers that help us run Booknow, under agreements that require them to protect it and use it only for us:

  • Amazon Web Services: hosting, databases and file storage;
  • our account and billing platform and our payment processor, Solidgate: sign-in, subscriptions and payments;
  • Twilio and our email delivery providers: text messages and emails;
  • Google: Firebase Cloud Messaging for push notifications, Google Maps on booking pages and in the business portal, and Google Analytics;
  • Datadog: error monitoring and performance of the business portal.

Booking data is shared with the business you book with. We may also disclose data when the law requires it, to protect the rights and safety of Booknow, our users or others, or as part of a merger, acquisition or sale of assets, in which case this policy continues to apply to your data.

International transfers

Booknow is operated from the United States, and our service providers may process data in the United States and in other countries. If you are outside the United States, your data will be transferred there. Where the law requires it, we use appropriate safeguards, such as the European Commission’s standard contractual clauses.

How long we keep your data

We keep personal data only for as long as we need it for the purposes above or as the law requires:

  • account and business data for as long as your account is active, and for a limited period afterwards to meet legal, tax and accounting obligations;
  • booking data for as long as the business keeps it in its Booknow account, so that it can see its appointment history;
  • the content of contact form messages for 30 days after the notification has been sent;
  • analytics and monitoring data for the periods set by those providers.

How we keep your data safe

We use technical and organisational measures to protect your data, including encrypted connections, encryption of our databases at rest, access controls and limited access for our staff. No system is completely secure, so please use a strong password and keep it to yourself.

Your rights

Depending on where you live, you may have the right to access the personal data we hold about you, to correct or delete it, to object to or restrict how we use it, to receive a copy in a portable format, and to withdraw any consent you have given. You can also complain to your local data protection authority.

Business users can see and update most of their data in the business portal. To exercise any other right, email us at support@book-now.app. If you booked with a business, we will pass your request on to that business or help it respond.

We do not sell personal data or share it for cross-context behavioural advertising.

Children

Booknow is intended for businesses and is not directed at children. Account holders must be at least 18 years old, and customers under 16 should have a parent or guardian book for them. If you believe a child has given us personal data, contact us and we will delete it.

Cookies and similar technologies

What are cookies?

Cookies are small text files that a website stores in your browser. Similar technologies, such as local storage and session storage, work in a similar way.

How we use them

  • Essential: to keep you signed in to the business portal (local storage), and to remember the details you entered on a booking page for your next booking in the same browser session (session storage).
  • Preferences: to remember the language you chose on our website (local storage).
  • Analytics: Google Analytics cookies on our website and in the business portal, to count visits and understand which pages are used.

How you can control them

You can block or delete cookies in your browser settings, and you can opt out of Google Analytics with Google’s browser add-on. Blocking essential storage may stop parts of the Service from working, for example signing in.

Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will post the new version on this page with a new “Last updated” date and, for significant changes, tell business users by email or in the Service.
